Terms of Service

These terms are an agreement between SAOIRSE SOFTWARE LIMITED (Company No. 819296, Venture Hub, 136 Capel Street, Dublin 1, D01 T2C9, Ireland — "we", "us") and the business that subscribes to PrepAhead ("you"). They include the Data Processing Terms at the end. You accept them when you agree to them, before you first use PrepAhead.
1. What PrepAhead is
From your till's sales history we show you how many of each dish or category you are likely to sell, hour by hour, for any day of the next 12 months, with a printable sheet for the kitchen. Send us your sales as often as you like — daily is best — and the numbers update each time. You also get the Positions area, to place your team across your work areas each day, and the Invoices area: send a photo or PDF of a supplier invoice, we read it, and you see what went up, what came down, new charges and short deliveries. You see all of it by signing in to your restaurant's page.
PrepAhead is for businesses. You can open an account on our website, or we can open one for you, and you are responsible for who you give access to.
2. A forecast is an estimate
The report tells you what your own sales history suggests. It is an estimate, not a promise. Weather, holidays, events, a new menu or a closed road all change what sells, and the first reports are less sure than later ones, because the forecast gets better with more weeks of history.
- The report counts dishes or categories sold. It does not tell you how much of any ingredient to buy or cook — turning the numbers into a prep list is your kitchen's decision.
- How much you order, cook and staff is always your decision. We are not responsible for food that runs out or is thrown away.
- The Invoices area shows what we read from the invoices you send. It is a check to help you spot changes, not accounting or a record for tax; if a figure matters, the invoice itself decides.
- The Positions area suggests a rotation. Who does what, and whether they are trained and safe to do it, stays your responsibility as the employer.
3. Price and payment
PrepAhead costs €79.90 a month, or €799 a year if you choose to pay yearly, charged in advance by card through Stripe. Stripe sends the invoice and receipt by email. The company is not registered for VAT, so no VAT is added. If a payment fails, we will let you know, and we may pause access until it is paid.
If we ever change the price, we will tell you by email at least 30 days before it applies to you.
4. Cancelling
You can cancel at any time, from the billing page Stripe provides or by emailing us. The subscription then stops at the end of the month (or year) you have already paid for, and you keep access until that day. We don't refund part of a month or a year.
We may end the service with 30 days' notice by email, and straight away if these terms are seriously broken (for example, misuse of the service or non-payment).
5. Your data stays yours
Your sales numbers, reports, team data and supplier invoices belong to you. We use them only to provide PrepAhead to you — never for anyone else. From the till file we keep only the counts, and we delete the file once your report is made; see the Privacy Policy. When you leave, we delete your data within 30 days, and before that we will send you a copy of your reports if you ask.
6. Using PrepAhead fairly
- Keep your password to yourself, and tell us if you think someone else has used it.
- Only load files you are allowed to use, and only type into Positions what the area needs (a first name is enough).
- Don't try to reach another restaurant's data, break the service, or copy or resell it.
7. Availability and support
We work to keep PrepAhead running and to fix problems quickly, but we can't promise it will never be unavailable. Support is by email, in English, at support@saoirsesoftware.com. We aim to reply within two working days.
8. Liability
To the fullest extent the law allows, our total liability for any claim connected to PrepAhead is limited to what you paid us in the 12 months before the claim. We are not liable for indirect or consequential loss, including lost profit, lost sales or wasted food. Nothing in these terms limits liability that the law does not allow to be limited, such as for fraud or for death or personal injury caused by negligence.
9. Changes to these terms
If we change these terms, we will email you at least 30 days before the change takes effect, and ask you to accept the new version when you next sign in. If you don't agree, you can cancel before the change applies.
10. Law
These terms are governed by the laws of Ireland, and the Irish courts have exclusive jurisdiction.
Data Processing Terms
This part applies to the personal data we hold for you in the Positions area — your team's names, the areas each person can work, who worked where on each day and, if you enter it, each person's pay per hour — and to any personal details printed on the supplier invoices you send (a sales rep's name, for example), and to the details you type into an order (who it is for, the time, a note). It is the contract required by Article 28(3) of the GDPR, and it is part of these terms.
A. Roles and instructions
You are the controller of your team's data; we are your processor. We process it only to run the Positions area, Orders and Invoices for you, on your instructions — which you give by using the area — and for no purpose of our own. If the law ever requires us to do otherwise, we will tell you first, unless the law forbids it.
B. What is processed
- Whose data: the people on your team that you add, anyone named on an invoice you send, and the customers you write into an order.
- What: a name (as you type it), the areas they can work, and the area they were placed in on each day; from invoices, whatever the supplier printed on them; from an order, what you type (a name, a time, a short note such as an order number or a phone number).
- For how long: while you are a customer, and up to 30 days after you leave; an order, 3 days after its day.
- We do not ask for, and you should not enter, contact details or any sensitive information (health, religion and similar) about a person.
C. Our commitments
- Confidentiality. Only our founder has access, and is bound to keep it confidential. We have no other staff or contractors with access.
- Security. Each restaurant can only reach its own data — the database itself refuses anything else, not just the screen. Sign-in is by password, stored scrambled. Data is encrypted on its way to and from your browser.
- Sub-processors. We use Supabase (database and sign-in, hosted in Ireland), Netlify (delivering the pages) and Anthropic (its AI reads the supplier invoices you send, for us to check). You agree to these; we will tell you by email at least 30 days before adding or replacing one, and you may cancel if you object.
- Helping you. If a team member asks us about their data, we pass the request to you and help you answer it, at no charge. You can also correct or delete a person yourself, at any time, from Positions.
- Breaches. If we become aware of a personal data breach affecting your data, we will tell you without undue delay, and help you with any report you have to make.
- At the end. When you leave, we delete the data within 30 days, or return it first if you ask.
- Showing compliance. We will answer reasonable written questions about how we meet these terms, and allow for and contribute to audits, once a year, at your cost.
D. Your commitments
You make sure you are allowed to put your team's data into PrepAhead, and that your team knows their name is used to plan the rota.
